The Global Give Back Circle Foundation (GGBCF) is a registered Foundation in Rwanda and part of the Global Give Back Circle Organization. The Foundation is dedicated to empowering disadvantaged girls and young women to become self-reliant and transformative leaders in their communities. Through mentorship, life-skills training, financial literacy, and education-to-employment pathways, Global Give Back Circle Foundation seeks to create lasting impact across Rwanda.
Position Title: Executive Secretary
Location: Kigali, Rwanda
Reports to: Foundation’s Council
Contract Type: Part–time
Purpose of the Role
The Executive Secretary will play a key role in supporting the smooth functioning of the Global Give Back Circle Foundation Rwanda office and governance structures. The role involves providing executive and administrative support to the foundation’s Council and management team, ensuring compliance with organizational and statutory requirements, and contributing to effective program and stakeholder coordination.
Key Responsibilities
- Governance & Secretariat Support
- Act as the Secretariat for the Global Give Back Circle Foundation Rwanda Council.
- Organize and manage council meetings (notices, agendas, documentation, minutes, and follow-up actions).
- Maintain official records of resolutions, policies, and decisions.
- Support compliance with legal and regulatory requirements from Rwanda Governance Board (RGB) and other authorities.
- Administrative & Office Management
- Manage correspondence, filing systems (digital & physical), and office logistics.
- Draft and proofread official communications, reports, and presentations.
- Coordinate calendars, appointments, and meetings.
- Oversee procurement of office supplies and service contracts.
- Program & Stakeholder Support
- Support planning, coordination, and documentation of Global Give Back Circle Foundation activities, mentorship, high school workshops, and events.
- Maintain updated program records (mentors, mentees, partners).
- Liaise with local and international stakeholders, including government partners, private sector, and donors.
- Contribute to preparation of newsletters, reports, and communication materials.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Public Administration, Management, Communication, or related field.
- Must be a Rwandan national and currently residing in Rwanda
- Over 3 years of proven experience in executive/administrative support or office management (experience in NGOs or foundations preferred).
- Excellent written and spoken communication skills in English; knowledge of Kinyarwanda is required, and French is an added advantage.
- Strong organizational, multitasking, and problem-solving skills.
- Proficiency in MS Office Suite, Google Workspace, Zoom, and online collaboration tools.
- High level of integrity, confidentiality, and professionalism.
